Job Overview
Under the direct supervision of the Assistant Director of Finance, the Payroll Manager holds a pivotal role in ensuring the seamless operation of payroll processes, Accounts Receivables and General Cashier. For Payroll - responsible for overseeing the accurate and timely processing of multiple payrolls, familiar with tax compliance, and addressing all other payroll-related matters; this position requires adept navigation of complex payroll procedures and regulations, including those governed by the Fair Labor Standards Act (FLSA). Accounts Receivables – responsible for reviewing and approving group billings, sending and collecting group invoices, and reconciling Bonvoy payments. The general cashier will provide the change to colleagues and post cash receipts and deposits. 

The Payroll Manager will play a key role in end-of-year processes, such as year-end tax reporting and issuance of W-2 forms. Moreover, the Payroll Manager will lead integration efforts for new systems or processes, ensuring smooth transitions and optimal performance. The ideal candidate will demonstrate a strong understanding of payroll processing procedures, local, state, and federal laws, tax regulations, and FLSA requirements, coupled with exceptional leadership and communication skills. 

Duties/Responsibilities  

  • Oversee and manage the end-to-end processing of multiple payrolls with meticulous attention to detail, ensuring accuracy and adherence to strict timelines
  • Understand tax compliance, including payroll taxes, withholdings, and reporting, while staying abreast of evolving regulatory requirements
  • Demonstrate expertise in year-end activities and W-2 preparation with unparalleled precision and timeliness in alignment with IRS regulations
  • Promptly and efficiently resolve payroll discrepancies or issues, leveraging keen problem-solving skills and proactive resolution strategies
  • Maintain an up-to-date knowledge base of payroll laws and regulations changes, ensuring unwavering compliance and mitigating potential risks
  • Foster collaborative relationships with People & Culture and Finance teams to uphold payroll data integrity and accuracy, facilitating seamless cross-functional alignment
  • Develop and implement rigorous payroll policies and procedures to streamline processes and drive continuous efficiency enhancements
  • Partner closely with operational leadership to deeply understand business needs and ensure payroll processes are strategically aligned with organizational goals
  • Guarantee the accuracy of all transactions, payroll, and related payments, adhering to company policy and regulatory requirements
  • Resolve complex payroll issues with agility and precision, aligning with company policy, federal, state, and local regulations and wage, hour, and tax laws
  • Demonstrate expertise in balancing payroll accounts, reconciling discrepancies, and ensuring financial accuracy through rigorous audits, with a focus on compliance with regulatory standards
  • Perform other duties as assigned
  • Ensure all groups have the appropriate form of payment (credit cards, cash or direct billing)
  • Ensuring accurate postings from other departments based on group contracts
  • Collecting/securing payments from the groups once functions are over
  • Make appropriate adjustments/corrections to the billing
  • Applying payments to master accounts
  • Maintaining and managing AR aging
  • Reconciling Bonvoy submissions and payments
  • General Cashier
    • Complete daily deposits, including accurate balancing and submission of bank Deposits
    • Create CR and Cash variance reports 
    • Manage Petty Cash for appropriateness
    • Audit house banks as required per Proper SOPs
    • Generates summary sheets to be used by the supervisor or accounting team
    • Additional tasks given by the ADOF

Education & Qualifications

  • Required: Bachelor’s degree in accounting, Finance, Business Administration, or a related field. Certification in Payroll (e.g., CPP) is preferred
  • Required: Minimum of 5-7 years of experience in payroll administration or related field
  • Proficiency in payroll processing software, background in ADP strongly preferred, and Microsoft Office Suite, especially Excel
  • Commitment to high levels of customer service with a focus on employee satisfaction
  • Expert understanding of federal, state, and local wage, hour, and tax law regulations
  • Excellent analytical and problem-solving skills
  • Exceptional attention to detail and accuracy
  • Strong desire to own processes end-to-end
  • Effective communication, both written and verbal, and interpersonal skills
  • Flexible and able to excel in a fast-paced environment characterized by frequent change and the pursuit of continuous improvement
  • Proven experience managing multiple payrolls and handling tax compliance issues
